We are looking for at least one conference and event coordinator—an exceptional team member who has what it takes to deliver a significant part of the experience guests have with us in Söderfors and at the Manor. We assume you live in the region and have access to a driver’s license and a car. Working here requires an appreciation for preserving a sense of history and a unique environment. General Job Responsibilities
As the lead contact in our “Conferences and Events” department, you will serve as the primary point of contact for conference groups and other large gatherings, including weddings, festivals, and parties. You will take over once our sales department has finalized an order and will oversee the process until the event is successfully delivered. You will be the natural ambassador for Söderfors to all groups, both in terms of planning before the visit and operations during the event. You are a social genius and feel comfortable in all situations with all types of guests and visitors. You work independently as the lead manager but collaborate with all other departments and suppliers for your events.
Your main responsibilities
- Represents Söderfors Manor in a professional and courteous manner
- Holds regular follow-up meetings with the relevant group and the organization’s coordinator
- Ensures that everything that has been ordered, including all necessary service and product suppliers, is in place at the time of delivery.
- Music, speakers, furniture, conference materials, technology, etc.
- Ensures that all departments involved have the correct information
- Guest communication via email, phone, and at the front desk
- Ensures that all changes are recorded in our systems to ensure optimal delivery
- Coordinate with other departments to ensure smooth operations
- Furniture, technology, catering, etc.
- "Owns" the event as the on-site host or hostess at the time of delivery
Qualifications
- At least 3 years of experience working with events and/or conferences
- Fluent in spoken and written Swedish and English
- A strong commitment to customer service, a sense of responsibility, and the ability to resolve any challenges that arise.
- Experience with reservation systems
